Tools Overview

NOTE: Tool Management is available as an add-on feature for your Fleetio plan. If you'd like to add or update a Tool Management add-on, see Billing & Subscriptions.

Introduction to Tool Management

Fleetio is the backbone of fleet maintenance! The core Fleetio system revolves around the management of fleet Vehicles and other large assets. Typically, these assets are used for transporting people or goods, or for accomplishing major functions which are central to your operations.

  • Examples of Vehicles in Fleetio include cars, trucks, boats, trailers, airplanes, forklifts, bulldozers, and excavators.

What about the hundreds or thousands of auxiliary assets that equip your team for a particular purpose, perform a small job, or otherwise facilitate the management of your fleet? Most organizations invest in tools and small equipment. These assets have fewer maintenance needs than vehicles, yet they are valuable enough to warrant detailed purchase record-keeping, location tracking, assignment to responsible individuals, document and photo storage, and more.

  • Examples of Tools in Fleetio include hand tools, generators, lawnmowers, hedge trimmers, chainsaws, power drills, laptops, and smartphones.

Service Entries for Tools

Service Entries are a simple way to log a completed service for your Tools in Fleetio and offer a fast, easy way to track Tool service history and maintenance expenses.

Tools Index

The Tools Index is where you'll go for an at-a-glance view of your data. Details are displayed in a table with customizable columns so that you can sort, filter, and take various actions on your tools.

  1. Click the tabs to view All, Assigned, Unassigned, Archived, or other Saved Views, or click + Add Tab to create a new view
  2. Use Search to search for a Tool asset, including searching by full or partial serial number
  3. Use the Filters to narrow the results displayed
  4. Click the Index Settings button and use the Manage Columns option to select and reorder the visible columns in the data table
  5. Click the More Actions button to View, Edit, Assign, Link/Unlink, Add an Issue, and Archive
  6. Click + Add Tool to add a new Tool asset

Bulk Actions

  1. Multi-select rows via checkbox
  2. Apply Bulk Actions to Update Tools, Assign/Unassign from Contact, Link/Unlink from Vehicle, Print Labels, Archive, and Add or Remove Watchers

Tool Details Page

Click a Tool in the index to view its Details Page.

The Tool Details Page displays details, activity, comments, and attachments for each individual tool asset.

Use the tabs at the top of the page to see the Tool Overview, or view Issue, Assignment, Linked Vehicle, or Location History.

The Overview tab is where you'll find key information about the Tool.

  1. The Fields card displays key Tool information, such as the brand, model, and serial number. This is also where Linked Vehicles will display.
    • NOTE: Professional and Premium plan accounts can customize Fields with Field Management.
  2. On the right, you'll find cards for tool assignments and the Last Known Location.
    • Click Add Tool Assignment to assign the Tool to a User
    • Click Check Out/In to check out or check in a Tool

  3. Expand the photos, comments, and documents panel to leave a comment or add photos and documents.
  4. Click More Actions for View, Edit, Assign, Link, View Record History, and Archive options.
  5. Click Edit to make changes to Tool details
  6. Click + Add to add a Tool Assignment, Issue, or Service Entry

Pinned Fields

Fleetio allows you to pin fields you commonly use to the top of the Fields card. Once pinned, these fields will be added to the Pinned Fields subsection.

To pin a new field, hover over the field and click the Pin Icon. To unpin a field, click the Pin Icon again.

NOTE: You can only pin fields in the Fields card. When you pin a field, this will be available for all Tool Details Pages you access. Pinned fields are only pinned for you; the fields you pin in the Details card will not affect other Users' Details Pages in your organization.

Tools Settings

Tools Settings include various configuration options, such as Tool Statuses, Tool Types, and Custom Fields that can be set as required.

Add Tools

Click the + Add Tool button from the Tools Index (shown above) to add an individual tool. Alternatively, save time and energy by importing multiple records from a spreadsheet.
