Tool Statuses

Status is a required field in the Tool record, with the default set to In-Service. Fleetio includes several common pre-defined Tool Statuses:

  • In-Service
  • Out-of-Service
  • Disposed
  • Missing

You may Edit or Delete these pre-defined Statuses or Add your own custom Statuses.

PERMISSION: Account Owners and Administrators can manage (add, edit, and delete) Tool Statuses. Regular Users with Role permission in the Tool module to Edit or Update Status may make this change. Learn more in User Management Overview and User Roles & Permissions.

 

IMPORTANT: Tool Statuses do not affect your Account Billing. The Tool you are billed for is determined by your Plan and your Subscription. If you have any questions, contact billing@fleetio.com.

 

Update Tool Status

To update a Tool status, you must edit the Tool:

  1. Click Tools in the Sidebar Navigation.
  2. Hover over the Tool you'd like to edit, click the More Actions button, and select Edit.

  1. Scroll to the Classification section and click the Status drop-down to choose a new status.

  1. Click the Save Tool button to save your changes.

Manage Tool Statuses

  1. Go to your Account Menu and select Settings.

  1. In the Settings sidebar, click Tool Statuses in the Tools section.

The Tool Statuses table lists each Status by name, and the Usage column shows the number of active and archived Vehicles assigned to each status.

Add a Tool Status

  1. Click the + Add Tool Status button in the top right corner.
  2. Enter a Name (a) for your new status.
  3. Choose whether to set this Status as the Default for new Tools (b). This sets an initial status for new records and can be changed at any time.
  4. (optional) Choose a Color (c) for the status.

  1. Click the Save button.

Edit or Delete a Tool Status

Click the More Actions Button for a Status and select Edit or Delete.

IMPORTANT: A Tool Status can only be deleted if there is no Tool assigned (active or archived). If you delete a Tool Status, any corresponding status change history will be deleted as well.

Tool Status Change History

Whenever a Tool's status changes, Fleetio records this event. You can access the status change within Record History from each Tool Details Page.

  1. Click Tools in the Sidebar Navigation.
  2. Click on a Tool to view its Details Page.
  3. Click the More Actions Button and select View Record History:

Each Tool Status change will be displayed in the Record History window as an individual line item that includes the Date, the User who made the change, and the Changes Made.

Filter by Tool Status

Navigate to the Tools Index (Tools in the Sidebar Navigation) and click the Tool Status drop-down. Select one or more statuses, then click Apply.
