Fleetio offers a smart solution to ensure the integrity of your vehicle meter readings. Each Meter Entry includes a value and a corresponding date and should increment in sequence. Fleetio has developed a clever algorithm for detecting and excluding Meter Entry anomalies that are associated with a Fuel Entry using a Fuel Card Integration or Fuel Entry Import. The Vehicle’s fuel history is used to identify inconsistencies and then automatically void new Fuel Entries that are out of sequence or exceed an expected difference. Inconsistencies include values that are lower than a later-dated entry and those that are greater than a calculated standard deviation.
Auto Void Fuel Entries will be displayed just like manually voided entries - highlighted with an icon.
Usage statistics will NOT be calculated for these entries.
IMPORTANT: Fleetio will auto void Fuel Entries that are imported through Fuel Card Integrations, Fuel Entry Imports, or certain entries (even manually entered ones) that exceed a reasonable amount. For example, if the mileage on a vehicle is 79,000 miles on Tuesday, then the next day, an Entry is added for 94,000 miles; Fleetio will void the second entry since it's unlikely a vehicle traveled 15,000 miles in one day. Other Fuel Entries will not be auto-voided but may be manually marked as void. Learn more in the Meter Entry - Mark as Void article.
Fuel Entries from Native Fuel Card Integrations may also be auto-voided if the Auto Void Meter Entries setting is enabled.
These auto-voided meter entries will also be highlighted, stating that "This meter entry source was disabled" as the void reason.
Notifications for Auto Void Entries
A daily email summary will be sent to watchers of vehicles that had Fuel Entries auto-voided that day. Only "watched" Vehicles are included in these messages.
The email will show each Fuel Entry that was voided, along with the Vehicle, Date, Meter, and available Actions.
Use the Edit link in the email to navigate directly to the Fuel Entry in Edit mode, so that the meter reading can be corrected and un-voided if necessary.
Use the List link to view ALL Fuel Entries for the Vehicle, so that you may see this entry in sequence.
NOTE: Email Notification is only sent for Fuel Entries that were recorded via Fuel Card Integration, not those via Fuel Entry Import.
Fix Auto Void Entries
In some cases, Fleetio may Auto Void an entry that is correct, even though the transaction values fall outside the expected range. When this happens, you may UN-Mark as Void to confirm the entry and remove the Void label.
- Click Fuel History in the Sidebar Navigation, or on a Vehicle Details page, click the Fuel History Tab.
- Click the More Actions Button for the Fuel Entry. If you want to remove the Fuel Entry, select Delete. Otherwise, select Edit.
- De-select the Mark as Void checkbox. If the Entry is incorrect, adjust the odometer value. Click Save when complete.
If you make any adjustments, go to the Vehicle Details Page, click the More Actions Button in the upper right corner of the page, and select Recalculate Fuel Entries.
In the pop-up, choose Recalculate Only or Validate and Recalculate to re-validate subsequent meter entries based on the change.
