Fleetio integrates with Motive GPS devices. This article explains how to set up the integration and map your Motive devices to your Fleetio Vehicles.
Motive is a native integration and includes the following features:

Meter Units Supported
The Fleetio integration with Motive supports primary and secondary meter units in miles, kilometers or hours. Simply set the meter units appropriately on the Fleetio Vehicle and follow the setup steps below, and the correct meter values will be imported.
Data Transfer / Update Frequency
Historical Data
Upon initial configuration, Fleetio does not pull any historical data from the integration. New data is imported moving forward.
Data Update Frequency
Meter Entries are imported nightly at midnight based on your account's time zone. These can be manually refreshed at any time.
Vehicle Location updates are imported on a nightly basis and may be manually refreshed at any time. A new Location Entry is only recorded if it has been more than 15 minutes since the previous one.
By default, Faults/DTC Alerts are imported nightly but may be configured for hourly import and can also be manually refreshed.
DVIR/Inspection Defects are imported hourly.
TIP: Multiple Meter Entries with the same Date and Meter Reading may simply indicate that Fleetio has pulled the most current data available from the device. Learn more in the GPS Integrations - Advanced Meter Topics article.
Prepare Fleetio Vehicles
Before initiating the setup process, you'll want to take two steps to prepare your Fleetio Vehicles.
- Ensure that each Vehicle is configured with the proper meters (primary/secondary) and the corresponding meter measurement units (miles, hours, kilometers).
- Enter a VIN for each Vehicle, if possible. Fleetio will attempt to auto-map Motive devices to Fleetio Vehicles based on VIN, but you may also complete this mapping manually if the VIN is omitted.
Set Up the Integration
- Click Integrations in the Sidebar Navigation.

- Click Telematics in the Integrations Directory.

- Click the Connect button in the Motive tile.

- Click the Next button.

- You'll be asked if you want to sync your Vehicles with Fleetio or only sync Telematics Devices. See Telematics Vehicle Import to learn more about these options, then return here to complete your setup.
- You will be redirected to the Motive login screen. Enter your credentials:

- A list of the View permissions authorized for Fleetio displays. Click the Install button.

- Configure Settings:
- Vendor Location Alerts occur when the location of the Fleetio Vehicle at the time of a fuel transaction differs from the location of the associated fuel Vendor.
- Fault Codes include Diagnostic Trouble Codes and other engine alerts; these are created as Faults in Fleetio.
- If Fault Codes are enabled, you may optionally configure to Download Fault Codes Hourly instead of the default daily import.
- DVIR Defects originate from Inspection Reports submitted via the Motive mobile app.
- Fleetio will display "Verifying credentials and importing devices in the background" and, once complete, "Your changes are ready!" Click to reload the page and view your devices.
- The number of devices found will be displayed. Fleetio will attempt to auto-map devices to Vehicles based on VIN. Click the More Actions Button for Motive and select Manage Devices.

- This will bring you to the Telematics Devices index filtered by the Motive integration.
- Choose the corresponding Fleetio Vehicle by clicking Unassigned under the Assigned Vehicle column in each unmapped row.

Manage Settings
After the integration has been established, you may adjust your settings for Fuel Vendor Location Alerts, Fault Codes, and DVIR Defects.
- Click Integrations in the Sidebar Navigation.
- Click My Integrations in the Integrations Directory.

- Click the More Actions Button for Motive and select Edit

- Here, you can use the checkboxes to manage Fuel Vendor Location Alerts, DTC Alerts, DVIR Defects, and choose to Sync Assets.

- Click Save to save your changes.
Manage Fault Rules for Fault Codes
Navigate to Issues > Faults in the Sidebar Navigation to access the Faults Index, where you can view and manage reported Fault Codes.
Manually refresh to view the most current Fault data.
The More Actions Button at the end of each row offers options that vary based on the fault status. For an Open fault, you can Create Issue or Ignore. You can also establish Fault Rules to ignore or trigger priority handling based on the Fault Code.
NOTE: If you ignore a Fault and then the same code occurs again, Fleetio will create a new Fault for that Vehicle.

DVIR Defects from Motive
Upon activating the DVIR Defects import option, Fleetio will pull any new Inspection Report data that it has detected for the past 14 days.
Inspection Reports are submitted via the Motive mobile app, and item details may include a Description and Photo.

The Inspection Report signature page includes checkboxes to indicate if the Defects have already been Corrected or if they Need Not Be Corrected.
IMPORTANT: ONLY those Defects with these options left UNCHECKED will be imported to Fleetio. Additionally, Fleetio will only import defects where the defect type is marked as either Minor or Major during the inspection within the Motive app. Inspection defects where the type is listed as None will not be imported into Fleetio.
Issues in Fleetio
DVIR Defects are imported to Fleetio as Issues.
Navigate to Issues > Issue List in the Sidebar Navigation to view the corresponding Issue in Fleetio.
If the email address of the Motive Driver who has submitted the Inspection Report matches the email address of a Contact in Fleetio, the Name will automatically be recorded.
Click the Issue row to view details. Note the quick link back to the Inspection source in Motive and the Meter Reading transferred from the source.
Where applicable, Issue detail also includes any photos taken via the Motive mobile app.
Push DVIR Defect Resolutions back to Motive
IMPORTANT: Pushing Issue Resolutions back to Motive is an Advanced Integration Feature included only with the Premium Fleetio Plan.
If you enable Push DVIR Defect Resolutions Back to Motive, Fleetio will resolve issues in Motive when the corresponding Issue is resolved in Fleetio, thereby no longer showing as an open defect.
This only applies to Issues in Fleetio that have been resolved, not closed.
To enable this feature:
- Click the Push DVIR Defect Resolutions back to Motive checkbox to enable this feature.

- If this is your first time enabling this feature, you'll be prompted to re-authenticate with Motive. Click the Re-Authenticate button.

- When you return to Fleetio, click the Save button.
IMPORTANT: Once an issue is resolved in Motive, it cannot be reopened, even if you reopen the Issue in Fleetio.
Sync Fuel Data
Enable the Sync Fuel Data option to sync fuel transaction data from Motive into Fleetio. This will create Fuel Entries in Fleetio from fuel transactions recorded in Motive.
To Sync Fuel Data:
- Click the More Actions button for your Motive Integration and select Edit.

- Check the Sync Fuel Data checkbox.

- If this is your first time syncing Motive fuel data with Fleetio, you'll be prompted to re-authenticate with Motive. Click the Re-Authenticate button.

- Log in to your Motive account. This is shown in steps 6 and 7 above.
- When you return to Fleetio, click Save.
Motive fuel transactions will begin syncing with Fleetio. You can learn more about Fuel Entries in Fleetio in Fuel Entry Overview.
Deactivate or Delete Integration
During the setup steps, Fleetio will authenticate access to the Motive account. In the event that the credentials entered here are incorrect, you may Deactivate and Re-authenticate the Integration via the More Actions Button.
This is also where you will find the option to Delete the integration entirely.
