Service Reminder Compliance Report

Table of Contents

The Service Reminder Compliance report provides insight into the efficiency of your fleet's preventative maintenance. While it's hard for all preventative maintenance to be completed 100% on time, maintaining a high compliance rate can help prevent breakdowns and keep your vehicles on the road longer, thus saving money. By utilizing Service Reminders, Fleetio can track and provide data on your compliance based on various Groups, Vehicles, or Services.

To view the report, click Reports in the Sidebar Navigation, then select the Service Reminder Compliance Report from the Service section.

The bar graph at the top of the report summarizes compliance by quarter and what percentage of completed Service Tasks were on time or late.

Use the Filters button (a) to narrow the data displayed. Click the Group drop-down menu (b) to quickly filter the data by Vehicle, Vehicle Group, and/or Service Task. Use the Columns drop-down menu (c) to change the visible columns in the Report.

Using Filters and the Group drop-down menu, this Report can answer questions such as:

  • Which vehicle groups have the best/worst compliance rate?
  • Which service tasks, such as oil changes, are consistently on time, and which are usually late?

You can also use the report to set goals, such as tracking a group's compliance rate and setting milestones to raise it.

Compliance Calculation

Compliance percentage is calculated by dividing the number of on-time Service Reminders by the total number of completed Service Reminders. Service Reminders are considered late if they are completed 10% past the Service Reminder meter or date interval.

For Service Reminder Compliance calculations, when a Service Reminder is resolved by a Service Entry or Work Order with a void meter, Fleetio will use an Estimated Meter based on the most recent valid meter reading. The Estimated Meter will then be used to calculate compliance.

EXAMPLE:

An incorrect Meter Entry of 999,999 miles was entered by a technician for a Service Entry on June 10. The Meter Entry for June 10 was voided, as seen in the Meter History below.

This normally would have marked the compliance as "Late" for the Service Entry. As a result of the Meter Entry being voided, Fleetio uses the most recent valid meter reading for the Estimated Meter (85,000 recorded on April 10), clearly indicating that the work was still completed "On-Time". Note the indicators in the History tab of the specific Service Reminder displaying this information:
