Preventative Maintenance Compliance Overview

For effective fleet management, it is important not only to track current and upcoming maintenance but also to analyze and improve performance based on past history. Fleetio's Service Reminders work together with Service Entries and Work Orders to provide insight into Preventative Maintenance Compliance - helping to show how well your organization adheres to the service schedules you have established.

Compliance Calculation

Compliance is measured as a percentage for both individual vehicles and the fleet as a whole. The percentage value is calculated by dividing the number of on-time Service Tasks by the total number of completed Service Tasks.

EXAMPLE:
A Service Task has been completed four times.
One task was completed late, and three were on time.
3/4 x 100 = 75%

So what makes Service Tasks on time or late? Service Reminder schedules are based on intervals of elapsed time, meter usage, or a combination of both -- whichever comes first.

Service Task completion is considered late if a Service Entry or Work Order is completed more than 10% past the Service Reminder meter or date interval.

EXAMPLE:
A Service Task is due every 90 days or 5,000 miles, whichever comes first.

  • The task is completed on Nov 30, 2021, at 112,401 miles
    • Fleetio automatically calculates that this is nine days behind schedule and 500 miles behind schedule
    • Nine days is 10% past the due date (9/90 x 100). Thus it is late by date.
    • 500 miles is 10% past the due meter (500/5,000 x 100). Thus it is late by meter.
  • The task is again completed on Feb 12, 2022, at 117,401 miles
    • Fleetio automatically calculates that this is 13 days ahead of schedule and 200 miles behind schedule
    • any number of days ahead is on-time
    • 200 miles is 4% past the due meter (200/5,000 x 100). Thus it is behind schedule by meter, but at less than 10%, it is not late.

For Service Reminder Compliance calculations, when a Service Reminder is resolved by a Service Entry or Work Order with a void meter, Fleetio will use an Estimated Meter based on the most recent valid meter reading. The Estimated Meter will then be used to calculate compliance. Reference this article for more information.

View Compliance

You can view Compliance information in Fleetio in both the Service Reminders Index and the Vehicle Details Page.

Service Reminders Index

Click Reminders in the Sidebar Navigation, then select Service Reminders.

The page header displays the total number of Vehicles Overdue, Due Soon, Snoozed, and Average Compliance for all fleet Vehicles.

In each row on the Service Reminders Index, you can view individual Vehicle Compliance under the corresponding column (a). Click the More Actions Button (b) to view more details for the Service Reminder. If no Service History exists for the reminder, the Compliance column will be blank.

Vehicle Details Page

On any Vehicle Details Page, click the Service Reminders tab. View the Compliance column for specific compliance on the Service Reminder.

NOTE: In order to calculate compliance for any given Service Reminder, there must be at least one corresponding Service History entry.

Compliance History

The Compliance History for a Vehicle can be found on the Service Reminder details page.

  1. Click Reminders in the Sidebar Navigation, then select Service Reminders.
  2. Click the More Actions Button for a Service Reminder and select View.

In the History Card, you can see if each reminder was completed on time and click the Completed Date to view the Service Entry that satisfied the reminder.

Recalculate Compliance

If you notice that the number of completed tasks in the Compliance History is off from the number of tasks in the Service History list, you can recalculate the compliance data. From the Service Task Details Page (shown above), click the More Actions Button, then select Recalculate Compliance.

If you notice a discrepancy for several Vehicles in your fleet, you can Recalculate your Fleet's Compliance History:

  1. Navigate to your Account Menu and select Settings

  1. In the Settings sidebar, click Service Reminder Settings in the Reminders section.
  2. Click the Recalculate button.

NOTE: Recalculating Fleet's Compliance History will delete and regenerate Service Reminder data. Only take this action if you notice multiple discrepancies.
