Merge Service Tasks

If multiple Users have permission to create new Service Tasks, duplication may result, and your reporting results may become inaccurate. For example, misspelling and capitalization differences could lead to separate entries for "Alignment," "alignment" and "Alinement" causing the Parts and Labor costs for these tasks in Service Entries and Work Orders to not be consolidated in a cost totals report. Properly managing your Service Task list will ensure accurate reporting so that you can view cost summaries, monitor the frequency of task occurrences, and more.

To clean up your data and eliminate duplication, you can easily Merge Service Tasks.

Restrictions and Scenarios

In order to preserve the integrity of existing Preventative Maintenance schedules, including any Main and Subtask hierarchy, there is one restriction on the Merge function: it is not possible to merge an existing Main or Subtask into any other Task.

A Task that is not part of a Main/Subtask relationship would be considered an independent Task. The following scenarios are available to help eliminate duplication and clean up your data:

  • Merge any independent Task into another existing independent Task
  • Merge any independent Task into an existing Main Task
  • Merge any independent Task into an existing Subtask

Merge Process

Service Tasks are identified by a required Name field and an optional Description. In the Merge process, a source task is selected to merge into a destination task.

The source Service Task’s Service History and Service Reminders will be merged into the destination Service Task. The destination Service Task’s description, categorization, and subtasks will be maintained after the merge. No destination Service Task information will be overwritten by source Service Task information.

  1. Click Service in the Sidebar Navigation and select Service Tasks.
  2. Locate the source Service Task, click the More Actions Button, and select Merge.

  1. Type the name of the destination task into the Destination Service Task field, and select the appropriate destination by clicking the check button.
  2. Click the Merge button.

The source task is now deleted.

Service History will update to reflect the destination task Name. Parts and Labor cost totals for the two sets of tasks will also be combined in cost reporting.
