Inspections - Item Failures

When an operator or technician marks a Pass/Fail Inspection Item as Failed, you can view the Item Failure in Fleetio and choose whether to create an Issue or acknowledge the failure if no action is needed. Operators have the flexibility to automatically add Item Failures to an existing Issue while Submitting Inspections in Fleetio Go

PERMISSIONS: Account Owners and Admins have full access to Item Failures. If a Regular User's Role includes the Submit Inspection permission, they can create issues through a Workflow and confirm issue resolutions during an Inspection. Learn more about Roles in User Roles & Permissions.

 

View Inspection Item Failures

To view an index of Inspection Item Failures, click Inspections in the Sidebar Navigation and select Item Failures.

Use the Tabs (a) at the top of the page to view Item Failures by their current status.

The Submitted Inspection Form drop-down (b) allows you to filter by an individual Inspection Form. Search for specific Inspection Items (c) contained in that form to filter your list. Click Filters (d) to open the side panel, add additional search filters if needed, then click Apply to further filter your list.

  • Inspection Items are only available to search after selecting an Inspection Form.

Columns

You can manage the displayed columns for Inspection Item Failures by clicking Index Settings and selecting Manage Columns.

Create Issue or Workflow

Create an Issue for an inspection with a status of Needs Action (view all by selecting the Needs Action tab) by clicking the more actions button to the right. You'll be brought to a new Issue page where you can follow the process outlined in the Issues Overview article.

NOTE: Issues created from failed Inspection Items are named based on the comment remarks from the Inspection Item.

In some cases, you may have an established procedure for handling a specific failed item. If this procedure is the same each time, you can Create a Workflow to automatically generate an Issue when an Inspection Item Fails.

NOTE: By default, when you create a new Inspection Form, there is a workflow that will automatically create an Issue when an item fails during an Inspection. This can be changed or deleted at any time.

Acknowledge Item Failures

If a Needs Action Item Failure requires no further action, you can Acknowledge an inspection by clicking the more actions button to the right.

To acknowledge multiple Item Failures, select the checkboxes next to each one, then click the Actions Menu to acknowledge all selected items.

Acknowledging one or more items also allows you to leave an optional Comment.

Item Failures with Existing Issues

If an Issue has been created from a previous inspection Item Failure, the next user to inspect the vehicle will see a notification that the Issue either remains open or has been resolved, with the opportunity to confirm or reject this resolution. Users can then follow the process outlined in Submit Inspections in Fleetio Go to complete their Inspection.

Failure Timeline

You can view a timeline of inspection item failures by adding the Failure Timeline column via Manage Columns, or via the More Actions button to the right. Selecting this will display an overview of Inspection Submissions, Issues and Work Orders by date.
