Group Import Guide

IMPORTANT: The best place to find information about Data Imports in Fleetio is the New Data Import Overview article. This resource includes step-by-step instructions, training videos, and guidance on how to prepare your import data file.

 

This guide provides an overview of the file requirements and supported values for importing Groups and Subgroups.

IMPORTANT:

Fleetio's Essential Plan can add up to 10 Vehicle Groups but does not include access to Subgroups.

Fleetio's Professional Plan can add up to 100 Vehicle Groups and includes up to four levels of Subgroups.

All other Fleetio Plans include unlimited Groups and Subgroups.

 

Group Import Template

We recommend using the Group Import Template to import your Groups.

  1. Go to the Quick Add Menu and select Import Data.

  1. Click Browse Import Templates.

  1. Click Other in the Templates menu on the left, and click Group.
  2. Click the Download dropdown and select Empty Template.

NOTE: If you are using a spreadsheet generated from another system, modifications to the file type and data may be needed to ensure proper format and data mapping.

Data Requirements

Columns not marked as Required may be left as blank cells in the import file and skipped during the mapping process.

IMPORTANT: Unlike with NEW data imports, you do NOT need to include required fields if you are updating data, as long as you include the fleetio_id.

  • During the mapping process, it is essential to map the fleetio_id column from the source file to the Id field in the Fleetio Field Mapping drop-down box. The Id field is what notifies Fleetio that the import is intended to "update" data, and not create NEW records.

Columns & Values

Required Fields

The fields below are required for Group imports unless otherwise noted.

fleetio_id * See Below
This field is NOT required and should be left blank for all NEW Groups being added. This field is ONLY required when updating existing Groups in Fleetio.
group_name Yes

This is the name of the new Group. A new Subgroup can be added by using the "pipe" character | to separate Group and Subgroup.
NOTE: The Group must already exist in the system OR be created first in the import source file in order to then add a Subgroup.

  • Example: Group A
  • Example: Group A|Subgroup

* fleetio_id is required only when updating existing Groups. It is NOT required when adding new Groups.

Other Fields

These fields are not required but are recommended when possible to ensure the accuracy of your data in Fleetio.

Column Required? Notes
default No If this Group should become the new Default group for new Vehicles, the value is TRUE.
Otherwise, the value is FALSE.
If no value is set, the setting will default to FALSE.

IMPORTANT: Data in the default column is not required, but the default Column Header must be present on the CSV for the import to process correctly.

NOTE: New Groups may also be created via the Contact and Vehicle import process. If a Group is designated in one of these imports, and that Group does not already exist, it will be created along with the new Contact or Vehicle record.
