Users are Contacts who have been granted access to log in and use your Fleetio Account. If you Deactivate User Access, their login access will be revoked, but they will remain in your Fleetio Account as a Contact. If the Contact is no longer needed for operations, you may Archive the Contact, as long as there are no records assigned to them.
Once a Contact has been Enabled with User Access, you may Archive the Contact and/or Deactivate User Access, but you cannot Delete the Contact or the User.
NOTE: Archiving a Contact will automatically Deactivate User Login, but Deactivating User Login will not automatically Archive the Contact.
Deactivate User Access
You can Deactivate User Access in the Contacts Index or from the Edit Contact page.
Deactivating User Access from the Contacts Index
- Click Contacts in the Sidebar Navigation.
- Click the Users Tab to filter the Contacts Index to show only Users.
- Locate the User, click the More Actions Button, and select Deactivate User Access.

- In the pop-up, click the Deactivate User Access button to confirm.
Deactivating User Access from the Edit Contact Page
- Click Contacts in the Sidebar Navigation.
- Locate the User and click on their name to view their Contact page.
- Click the Edit button in the top right.
- Scroll down the Edit Contact page to User Access and select the No Access option.

When you're finished, click the Save Contact button.
Archiving a Contact
After Deactivating User Access, the Contact associated with the former User will still be active. You may Archive the Contact if it is no longer needed for operations, as long as there are no records assigned to this Contact, such as Service Entries or Work Orders.
IMPORTANT: If you Archive a Contact with an email address as their login, this email address cannot be used again in Fleetio, as it will remain associated with the original User in the system.
