PERMISSION: Account Owners, Administrators, and Regular Users with Archive/Delete Vehicle permission by Role can Archive, Restore, or Delete a Vehicle. Only Account Owners can Bulk Delete Vehicles.
Fleetio offers the option to Archive or permanently Delete any Vehicle. Archiving a Vehicle will retain all of its historical data and will not count toward your Fleetio plan allotment.
IMPORTANT: Archived Vehicles may be Restored, but Deleted Vehicles cannot be recovered.

No Subscription Fee
- Archived Vehicles are not counted against your Fleetio plan vehicle allotment or per-vehicle subscription fees.

Read Only
- Archived Vehicles are read-only; they cannot be edited.
- In order to edit an archived Vehicle, you must first restore it.
- Associated records, such as Service Entries and Fuel Entries, can only be viewed.

Reminders Disabled
- Service Reminders and Renewal Reminders are disabled for archived Vehicles. They will not appear on the Dashboard or on any Reports (unless the Archived filter is enabled).
- Reminder Notifications are not emailed for archived Vehicles.
- In order to view reminders associated with an archived Vehicle, you must first restore it.
- You may also change a Vehicle Status to Inactive or Out of Service if you wish to keep Reminders active and retain Edit access.
Archive Vehicles
You can archive Vehicles individually from both the Vehicles index and the Vehicle Details Page. In the Vehicles index, you can also archive multiple Vehicles at once.
Archive an Individual Vehicle
From the Vehicles index:
- Click Vehicles in the Sidebar Navigation, then select Vehicle List.
- Locate the Vehicle in the list.
- Click the More Actions Button at the end of the row and select Archive.

From the Vehicle Details Page:
- Click the Actions Drop-Down Menu, then select Archive.

Archive Multiple Vehicles
From the Vehicles index:
- Click Vehicles in the Sidebar Navigation, then select Vehicle List.
- Select the Vehicles using the checkboxes (a).
- Click the Actions Drop-down Menu (b) and select Archive.

NOTE: If a Vehicle has incomplete Work Orders associated with it, attempting to archive the Vehicle (individually or in bulk) will fail. You will receive a message indicating that Work Orders need to be completed prior to archiving a Vehicle.

View Archived Vehicles
After a Vehicle has been archived, it will not appear by default in the Vehicles index or in Vehicle drop-down selection lists throughout Fleetio.
You can apply the Archived Vehicles filter in the Vehicles index to view both active and archived vehicles, or exclusively archived vehicles.

A dedicated list of archived Vehicles can be found under the Archived tab in the Vehicles index.

Restore Archived Vehicles
Restore an Archived Vehicle at any time to reactivate Service Reminders and Renewal Reminders, and to re-enable editing.
You can restore Vehicles individually from both the Vehicles index and the Vehicle Details Page. In the Vehicles index, you can also restore multiple Vehicles at once.
NOTE: A Vehicle cannot be restored if it has the same Vehicle Name or VIN as another active Vehicle. Temporarily change the Name or VIN of the active Vehicle first, and you will be able to restore the archived Vehicle.
A Vehicle cannot be restored if it does not belong to a Group, and Groups are required per your Account Settings. Temporarily disable the Group requirement to restore the Vehicle.
IMPORTANT: Restoring a Vehicle will add it back to your Fleetio Plan vehicle allocation, and will increment your monthly bill on a prorated basis.
Restore an Individual Archived Vehicle
From the Vehicles index:
- Click Vehicles in the Sidebar Navigation, then select Vehicle List.
- Click the Archived Tab
- Locate the Vehicle in the list.
- Click the More Actions Button at the end of the row and select Restore.

From the Vehicle Details Page:
- Click the Restore button in the This record is archived banner.

Restore Multiple Archived Vehicles
From the Vehicles index:
- Click Vehicles in the Sidebar Navigation, then select Vehicle List.
- Click the Archived tab (a)
- Select the Vehicles using the checkboxes (b).
- Click the Actions Drop-down Menu (c) and select Restore.

Delete Archived Vehicles
If you wish to permanently remove a Vehicle from your Fleetio account, you can Delete it after it has been archived.
You can delete Vehicles individually from both the Vehicles index and the Vehicle Details Page. Account Owners can delete multiple Vehicles at once from the Vehicles index.
IMPORTANT: While an Archived Vehicle can easily be Restored, as shown above, Deleting a Vehicle is a permanent action and cannot be undone!
IMPORTANT: Vehicles with Auto Integrate Repair Orders cannot be deleted, they can only be archived.
Delete an Individual Archived Vehicle
From the Vehicles index:
- Click Vehicles in the Sidebar Navigation, then select Vehicle List.
- Click the Archived Tab
- Locate the Vehicle in the list.
- Click the More Actions Button at the end of the row and select Delete.

From the Vehicle Details Page:
- Click the Delete button in the This record is archived banner.

Delete Multiple Archived Vehicles
PERMISSION: Only Account Owners can Bulk Delete Vehicles.
From the Vehicles index:
- Click Vehicles in the Sidebar Navigation, then select Vehicle List.
- Click the Archived tab (a)
- Select the Vehicles using the checkboxes (b).
- Click the Actions Drop-down Menu (c) and select Delete.
