Smart Uploads for Service Entries

Upload maintenance service invoices and create Service Entries without reliance on manual data entry.

IMPORTANT: Smart Uploads for Service Entries is only available with the Fleetio Premium plan.

 

To upload a service invoice, navigate to the Service tab in your Fleetio Dashboard and select Service History.

  1. Click Smart Upload or Add Service Entry.

IMPORTANT: Smart Uploads have a maximum size limit of 30 MB per file. File types supported: .pdf, .jpg, .png, .doc, and .docx. Single-vehicle invoices only. Multi-page invoices must be contained in a single file.

  1. Drag and drop or click to pick the file(s) you would like, and click Upload
  2. Smart Upload will process and analyze your documents and generate a preview.
  3. Documents will populate the Upload Queue until a Service Entry is created. The upload queue has a maximum limit of 30 documents.
  4. Review Details for accuracy and make adjustments, if needed. Not all fields will automatically populate from your document, including, but not limited to, any data that does not appear on the uploaded document.

TIP: Capture and combine multi-page invoices into a single PDF for Smart Uploads on your mobile device:

  • iOS: In the Files app, tap the three dots in the Browse tab and select Scan Documents to use the camera to scan documents directly onto your phone/tablet as a PDF in the current folder.
  • Android: In the Camera app, tap the Scan option near the bottom of the preview screen. Scan the first page of your document, then tap Add scan for additional pages. When you are finished, tap next to save the scans as a PDF to My Files.

Once combined, upload the file through Smart Uploads in the Fleetio web app.

 
  1. Review Service Tasks, Parts, Labor, Tax and Totals and make adjustments, if needed.
  2. Click Create Service Entry to populate invoice details to a new Service Entry or Discard to remove the document from the upload queue. Learn more in Service Entry Overview.
