Work Orders: Quoting and Invoicing

Work Orders in Fleetio may be emailed as a PDF with three different document types for review or payment: Quote, Work Order, or Invoice.

IMPORTANT: Quoting and Invoicing is only available for customers on the Premium Fleetio Plan.

Email Work Order PDF

  1. Within the Work Order, select the More Actions menu at the top and click on Email PDF.

  1. Select the Document Type you would like to email: Quote, Work Order, or Invoice.
  2. Quote and Invoice document types contain additional editable fields. Optional Quote Details have fields for a Quote Number (a), Valid Until (b), and Terms and Conditions (c). Optional Invoice Details have fields for Bill To (d), Payment Due Date (e), Accepted Payment Methods (f), and Payment Instructions (g).

  1. Select the Work Order Details you would like to display on each PDF Document Type. Expand each section, or click Expand All, to make your selection(s) and click Next. Available data points:
    • Identifiers
      • Invoice number
      • PO number
      • Work order number
    • Dates and timing
      • Actual start date
      • Actual completion date
      • Duration
      • Expected completion date
      • Issue date
      • Scheduled start date
    • Work Details
      • Assigned to
      • Issued by
      • Labels
      • Line item parts, labor, and issue details
      • Repair priority class
      • Status
      • Vendor
    • Vehicle information
      • Standard vehicle details (Year/make/model, VIN/SN, license plate, odometer)
      • Internal vehicle details (Vehicle name, type, group, operator)
    • Cost breakdown
      • Labor markup in summary (Hide markups and distribute across labor line items)
      • Parts markup in summary (Hide markups and distribute across part line items)
    • Additional Notes
      • Comments
      • Description
      • Photos
    • Custom fields
  1. Add the Recipient Emails and check the box below to copy yourself.

  1. Optionally, make any changes to the Subject Line, select the Reply to recipient and/or add a message to the Email Content.
  2. When you are finished, you may Preview your document or click Send.
