Watching a Record in Fleetio

Fleetio gives you the ability to "watch" certain record types like Vehicles, Issues, Work Orders, or Fuel Entries. Watchers receive notifications when new activity happens on the record, such as new comments, status changes, and more. Vehicles can be watched individually or by Group.

NOTE: The images and examples below show the process for watching Vehicles, but all of the following record types in Fleetio can be watched:

  • Vehicles and Vehicle Groups
  • Tools
  • Issues
  • Work Orders
  • Service Entries
  • Service Reminders
  • Vehicle Renewal Reminders
  • Contact Renewal Reminders
  • Fuel Entries
  • Vendors
  • Purchase Orders
  • Expense Entries

Watch a Record

There are multiple ways a User can watch a record:

Index Pages

  • Hover over the number of watchers in the Watchers column and click Watch, or use the multi-select checkboxes and click the Actions Drop-down Menu to Add Watchers in bulk.

Details Pages

  • Click Watch on a Details Page.

Vehicle Assignment

  • You automatically become a watcher when you're Assigned To a Vehicle.

Vehicle Groups

  • If you're watching a Vehicle Group, you become a watcher for all Vehicles in that Group.

Automatic Watching

PERMISSIONS: Regular Users can only watch Vehicles that they have View access to according to their Record Sets.

View Records You're Watching

Start by going to the Index page for a record type. For Vehicles:

  1. Click Vehicles in the Sidebar Navigation, then click Vehicle List.
  2. Click the Watcher filter and choose yourself, then click Apply.

Watch Records in Bulk

You can manage watched records in bulk from the record's Index page. For Vehicles:

  1. On the Vehicle Index, select Vehicles using the checkboxes on the left.
  2. Click the Actions Drop-down Menu and choose Add or Remove Watchers from the selected Vehicles.

  1. If you're adding watchers, select the Users to add from the drop-down menu and click Save.
    • If you're removing watchers, use the checkboxes in the pop-up to select the Users to remove and click Save.

NOTE: If a Vehicle belongs to a Group that you are configured to watch, you can modify your Groups or unwatch all Groups using the instructions below.

Stop Watching Records

You can stop watching individual records by navigating to the Details Page for a record you're watching and clicking the Unwatch button, or by following the instructions to Remove Watchers in the Watch Records in Bulk section above.

If you would like to stop watching all of a certain record type, you can do this in Notification Settings.

  1. Click on your Profile Menu and select Notification Settings.

  1. In the What You Get Notified About section, click on a Record Type.
  2. Click Unwatch All.

  1. (This step is for Vehicles only) In the pop-up, select the checkbox if you would like to Also unwatch all vehicle groups (which will also unwatch all Vehicles in those groups).
  2. Type UNWATCH to confirm, then click the Unwatch button.

IMPORTANT: The Also unwatch all vehicle groups checkbox will automatically remove both individual Vehicles and Groups that you are configured to watch. This is a complete reset.

Watch Vehicle Groups

If you only work with Vehicles in certain Groups, you can select Groups of Vehicles to watch. When a new vehicle is added to or removed from the Group, Fleetio will automatically update your watched Vehicles list.

  1. Click on your Profile Menu and select Notification Settings.

  1. In the What You Get Notified About section, click Vehicles under Record Types.
  2. Under Watched Vehicle Groups, click + Add Group.

  1. In the pop-up, use the drop-down menu to select one or more groups to watch, then click the Watch button to save.

You will now be watching all of the Vehicles in that Group.

PERMISSIONS: Users can only select groups they have access to according to their Vehicle Record Sets.

Watched Vehicle Settings

Access the watched Vehicle settings by clicking on your Profile Menu and selecting Notification Settings. Then click Vehicles under Record Types.

Use the toggles to activate the following settings:

  1. Automatically watch new vehicles - When enabled, you will automatically be added as a watcher to new Vehicles added to Fleetio (that you can access).
  2. Automatically watch new records - When enabled, you will automatically watch new records like Issues, Work Orders, or Fuel Entries associated with your watched Vehicles.

NOTE: If you only want to receive notifications when associated records are created, but don't want to watch them, keep this setting disabled. You can manually watch the records individually by clicking the Watch button on the Details Page.

c. Automatically watch/unwatch existing reminders - When enabled, you will automatically be added as a watcher to existing Service Reminders and Vehicle Renewal Reminders for the Vehicles you are watching. Once you unwatch the Vehicle, you will be removed from all reminders.

Watching Assigned Vehicles

When a User is assigned to a Vehicle, they will automatically be added as a watcher of that Vehicle. They will also be added to any new Service and Renewal Reminders.

IMPORTANT:

If the assignment START is set to a date in the past or now, the User will be added as a watcher (unless the END is also set to a date in the past, in which case no watching occurs).

If the assignment START is set to a date in the future, the User will be added as a watcher when the assignment begins.

If the User was not already watching the vehicle prior to the assignment, they will stop watching once the assignment ends (whether manual or naturally expired).

Manage Watched Records for Other Users

PERMISSIONS: Account Owners and Administrators with permission to Manage Users can modify other Users' watched record types.

Index Pages

You can view watchers of a record on the Index Page for that record type. For Vehicles:

  1. Click Vehicles in the Sidebar Navigation and select Vehicle List.
  2. Hover your cursor over the number of watchers in the Watchers column to view the current watchers.

Details Page

You can view, add, or remove watchers from a record's Details Page. For Vehicles:

  1. Click Vehicles in the Sidebar Navigation and select Vehicle List.
  2. Locate the Vehicle in the list and click on it to go to its Vehicle Details Page.
  3. Click the + button next to the Watch/Unwatch button. A list of all current watchers displays.
    1. Search for the name of a watcher to add in the Add Watcher search.
    2. Click the x next to a watcher's name to remove them as a watcher.

NOTE: If a User is watching the Vehicle as part of a Watched Group, you will be unable to remove them as a watcher from that Vehicle. Modify the User's Watched Groups instead.

User Profile (Vehicles only)

To see which Vehicles a particular User is watching:

  1. Go to your Account Menu and select User Management.

  1. Click on a Contact to view their Profile.
  2. Click the More Actions Button and select Watched Vehicles.

You'll be brought to the Vehicle Index showing only the Vehicles that Contact is watching. You can then follow the Details Page instructions above to make changes to the watchers.
