With Utilization & Rightsizing, you can see your fleet's asset utilization with a customizable Utilization score. And with Rightsizing, you can easily identify underused assets, validate your fleet size, and explore potential cost savings.

How to Enable Utilization & Rightsizing

Utilization & Rightsizing is currently an Early Access Program feature and is limited to Premium account customers only. 

Enable Utilization & Rightsizing in Early Access

1. Navigate to your Account Menu and select Early Access

2. Enable Utilization and Rightsizing by switching the Utilization & Rightsizing toggle to the On position.

Access Utilization & Rightsizing

Once enabled, you can access Utilization & Rightsizing in Fleetio:

1. In the Sidebar Navigation, select Reports, then select Utilization & Rightsizing

2. Click the Set up utilization button to get started.

3. To set up utilization, you'll need to create your Utilization Model, which includes selecting the Utilization Calculation method, creating Utilization Profiles, and setting your Status Thresholds:

Utilization Calculation: Fleetio offers two methods for calculating utilization. Select the option that best fits your business and the way that you manage your assets: 

• Usage Only will calculate based on how many miles or hours assets have driven against a set target.
• Usage and Uptime will be calculated based on asset usage and asset uptime/downtime. If you select this option, you'll need to enter your operating schedule and select which vehicle status or repair priority class codes you count as downtime for your fleet

Utilization Profiles: Let you group similar assets together that do similar jobs and are expected to have similar utilization. You can set utilization targets for each profile, allowing you to see what success looks like for each group.

• You can create up to four utilization profiles.

For example, you have vehicles at a work site that remain at that location, and a group of delivery vehicles that are driven locally, and you want to track utilization for each group separately.

• You could create two Utilization Profiles: one for the work site vehicles, whose usage is tracked by hours used, and a second for the delivery vehicles, whose usage is tracked by miles driven.

Status Thresholds: Set your status thresholds to indicate the ideal utilization of your assets.

• The image below shows that vehicles should be used no less than 85% of the time (Low threshold) and no more than 95% (High threshold).

4. When you're finished, click the Save Utilization Model button.

 You'll then be brought to the Utilization & Rightsizing dashboard.

The Utilization tab shows your utilization rate based on the Utilization Model you set up. 

You can see whether your fleet is within the target range and a detailed table of each asset, including uptime, usage per day, and which assets are overutilized, underutilized, or optimal.

Rightsizing Scenarios Tab

In the Rightsizing Scenarios tab, you can adjust the utilization rate, time range, and filters at the top of the page to uncover potential savings through suggested downsizing opportunities across assets and groups. 

View trends in asset utilization, uptime, and downtime, see suggested fleet size changes, and savings potential should you elect to downsize under-threshold assets.
