Link2Pump Integration

Integration Overview 

The Link2Pump integration enables automatic export of fueling and meter data from Link2Pump (L2P) into Fleetio, allowing Fleetio to remain the system of record for fuel history and vehicle meters. 

This integration is one-directional (from Link2Pump to Fleetio) and supports the following data flows:

  • Accurate fuel history in Fleetio sourced directly from on-site fueling events 
  • Consistent meter tracking for maintenance, compliance, and analytics 
  • Cleaner operations for fleets using Link2Pump as their fueling system of record

Integration Setup 

Prerequisites 

To set up this integration, you'll need the following:

  • Active Fleetio account with API access 
  • Active Link2Pump account 
  • Vehicles configured in both systems with matching VINs as a shared identifier
    • This means that the vehicle VINs in Link2Pump must match the vehicle VINs in Fleetio to properly link the systems.

Step 1:Create API Credentials in Fleetio 

  1. Follow the Fleetio API Keys guide to create an API Key and Account Token in Fleetio  
  2. Record the API Key and Account Token to use in step 2. 

Step 2: Request API Activation from Link2Pump 

Email support@link2pump.com with: 

  • L2P client name 
  • Fleetio API Key 
  • Fleetio Account Token

Step 3: Vehicle Configuration Requirements 

The integration relies on consistent vehicle identifiers and proper configuration in Link2Pump. 

Vehicle configuration requirements (per vehicle): 

  • Export Code = VIN (must match Fleetio) 
  • Prompt for Odometer = Yes (if collecting odometer data) 
  • Prompt for Hourmeter = Yes (if collecting hour meter data) 

For fleets, these fields can be configured efficiently using the bulk vehicle setup feature in Link2Pump: 

  • Click Vehicles > New Vehicle > Download formatted list of vehicles
  • Update the required columns, then reupload the file.

Step 4: Expected Behavior 

When the integration is active, and vehicles are correctly configured: 

  • Each Link2Pump fuel transaction is exported to Fleetio as a Fuel Entry 
  • Odometer values are created or updated as Odometer Meter Entries 
  • Hour meter values are created or updated as Hour Meter Entries 
  • No manual data entry is required once live 

Exceptions/Fallback Behavior: 

  • If odometer or hour values are not captured during fueling, corresponding meter entries will not be created in Fleetio

Step 5: Integration Deployment (Final Step) 

Link2Pump completes backend integration within 5-10 business days.

Fuel and meter entries typically appear in Fleetio shortly after fueling events.

Troubleshooting 

Common Issues 

Vehicle not found in Fleetio 

  • Confirm the VIN in Fleetio exactly matches the Export Code in Link2Pump. 

Fuel entries missing 

  • Confirm API credentials are valid and active 
  • Verify fuel transactions exist in the L2P portal 

Meter entries not updating 

  • Ensure odometer and/or hour meter prompts are enabled 
  • Confirm values are being captured during fueling

Reprocessing failed transactions 

  • Go to https://app.link2pump.com 
  • Log in 
  • Go to the Reports menu 
  • Open the Integration - Transactions tab 
  • Select the token associated with Fleetio 
  • Click the Submit button 
  • Locate the transaction to be reprocessed 
  • After fixing the issue indicated in the relevant column, click the green button on the right side of the transaction row 
  • Wait a few minutes and check the status again
