Global Toll Services Integration

Fleetio integrates with Global Toll Services (GTS) to collect and expense all tolls for your fleet against the vehicles, and provides a system for the Fleetio organization to reconcile all tolls to see where they are being incurred and to allow your business to expense them to the correct branch or customer as needed.

How the Global Toll Services Integration Works

Vehicles and Expense entries. The integration retrieves all the vehicle information 3 times a day, then once a day, any expenses against each vehicle are uploaded to Fleetio as an expense entry for the vehicle.

What You Need to Know

Vehicles are matched between systems using the Vehicle Name and VIN in Fleetio. Make sure your Vehicle Names and VINs in Fleetio match those in Global Toll Services for data to sync properly.

GTS also matches the vehicle Organizations and provides all transaction data by organization to analyze toll costs by organization in the GTS portal.

Integration Setup

  1. Follow the Fleetio API Keys article to generate a key and access your account token.
  2. Provide GTS with the API Key and Account Token
    • Email your API Key and Account Token to brad@globaltollservices.com, indicating that it is a request to set up the GTS integration with Fleetio.

Once you provide GTS with an API Key and account token, follow the additional configuration steps below to complete the integration setup:

  1. Create a new Vendor in Fleetio called “Global Toll Services”. 
    • When tolls are added to the Fleetio system, they are assigned to this vendor.
  2. Add a Custom Field for the Record Type “Expense Entry”. 
    • Data type is Date, 
    • Label is “Toll Date”
    • Description is “The date the toll occurred.”
  3. Add the Toll Date to the Expense History views of your vehicles.
  4. Review any Vehicle Statuses in Fleetio and identify any that you want to exclude from tolling. 
    • For example, Sold and Inactive are usually excluded from tolling. Additional Vehicle Statuses can be added as needed.
  5. Review any Vehicle Types in Fleetio and identify any that you want to exclude from tolling. 
    • This is uncommon, but it may be needed if you want to exclude a specific Vehicle Type.
  6. Make sure your vehicles are up to date with both the “license plate” and “registration state” populated with the correct information.
    • License plate should be entered exactly as it is on the plate, with no spaces or dashes, and no additional characters
    • Registration state should be entered as the two-letter postal abbreviation (i.e., NY, FL, SC, etc.)
