Notification Profiles

Notification Profiles help administrators set default notification settings for a group of users. This makes it easier to ensure users receive only the alerts they need.

IMPORTANT: Notification Profiles are only accessible for accounts with a Premium plan through the Early Access Program.

 

Types of Notification Profiles

Unlocked Profile 

  • Allows administrators to define a default set of notification settings while still allowing users to personalize their own preferences.
    • Administrators can define the profile's notification settings and can push updates to assigned users, either as a one-time update or by overriding user-defined settings to match the profile.
    • Users start with the profile defaults, but can still enable/disable notifications for themselves.
    • Fleetio tracks which users are assigned a profile and which users have personalized their settings.
    • New users assigned a profile start with settings from the profile.
    • When a profile is applied to an existing user, their notification settings reset to match the profile.
    • If updates are pushed, users are notified via email that their notification settings were updated,

Locked Profile 

  • Lets administrators define notification settings that users are unable to change.
    • Administrators define the profile's notification settings.
    • Once assigned, users are required to follow the profile settings and are unable to personalize their notifications.

Manage Notification Profile Settings

To add new notification profiles or edit notification settings:

  1. Go to your Account Menu and select Settings.
  1. Under Notification Management in the settings sidebar, click Notification Profiles.
  2. To add a new Notification Profile, click the Add Notification Profile button.
  1. To edit an existing Notification profile, click the More Actions button next to the corresponding row and select Edit Profile Details.
  1. Make any necessary changes to the notification preferences and click Save Changes when complete.

How Profiles are Applied

There are multiple methods for profiles to be added. Review the methods below to select the best fit:

Add/Edit contact form

  • Click Contacts on the sidebar navigation.
  • If adding a new contact, click the Add Contact button, or select an existing contact if editing the record.
  • Under Notification Profile, select the applicable profile of locked or unlocked.
  • Click Save Contact when complete.

Bulk Update Notification Profiles through the Contacts Index

  • Click Contacts on the sidebar navigation.
  • Then, select the Users tab.
  • Multi-select the users you would like to update profiles for.
  • Using the bulk Actions dropdown, click Update Notification Profiles.
  • Select if you would like to Add/Update Notification Profiles or Unassign All Notification Profiles.
  • Then, select the profile from the dropdown and click Update Notification Profile.

Add Notification Profiles through the Add Multiple Contacts tool when adding new users in bulk

  • Click Contacts in the sidebar navigation to go to your Contact Index.
  • Click the More Actions button at the top of the page, then select Add Multiple Contacts.
  • In Step 1 under Configure User Access, select the appropriate Notification Profile before moving to the next step.

NOTE: While setting Notification Profiles through SCIM provisioning is not currently available, the Fleetio team is working on this feature for a future release.
