You can update multiple parts at once by using the Bulk Manage Parts tool in Fleetio. This includes changing the part’s status or quantity, making it easier and faster to manage your inventory.
PERMISSION: Account Owners, Administrators, and Regular Users, with permission by Role, can use the Bulk Manage Parts tool.
This tool is not available if using an Advanced Inventory Valuation method.

Bulk Manage Parts
Parts are managed by location. To find the Bulk Manage Parts tool:
- Click Parts & Inventory in the sidebar navigation.
- Select the Bulk Manage Parts tab.
- Pick the location that you want. Note that:
- Parts are managed by location, so you need to find where that part is assigned.
- The Bulk Manage Parts tool opens to the first location in your list, which is arranged in alphabetical order.
Changes to parts are saved automatically and within seconds. The following indicates a save's status:
- Saving… appears at the top while a save is happening.
- All changes saved appears at the top when the save is done.
- Save failed shows in any row that fails to save a change.
View Active and Inactive Parts
Parts can either be:
- Active (currently stocked)
- Inactive (not currently stocked)
NOTE: Inactive parts cannot have inventory or be tracked.
You can filter by these statuses to find only active or inactive parts within a location.
Activate or Deactivate Parts at a Location
The processes for activating or deactivating parts are almost identical.
However, it’s important to know that deactivating a part:
- Sets that part’s inventory to 0
- Stops any tracking for that part
- Is not available if the part is associated with either a Work Order or Purchase Order
To change a part’s status:
- Select the status filter dropdown.
- Choose your status (Active or Inactive) and then click Apply.
- To update a part's status, either:
- Change one at a time by selecting the Active? toggle to the right of the part.
- In bulk, by:
- Checking the box to select all parts on the page.
- Optional: select all parts in that location or de-select any parts you don’t want to update.
- Open the Actions dropdown and click either Activate or Deactivate.
- Checking the box to select all parts on the page.
- Change one at a time by selecting the Active? toggle to the right of the part.
- If deactivating parts, confirm that you want to erase any current inventory and stop tracking the part.
If you choose to bulk update, this process may take a few minutes, and you cannot make any changes to the parts at this Location until it completes.
Update Part Quantities
You can track and adjust inventory for any active part; however, this is not available for inactive parts.
IMPORTANT: Deleting the number in the Current Quantity sets the quantity to zero. It does not undo the changes you made to the part's quantity.
- Filter to show only Active parts.
- Check that Track Inventory is turned on for any part that you want to update; you cannot update the quantity for a part when tracking is disabled.
- Enter the quantity in Current Qty. This represents the total quantity of this part for a specific Location.
Note: Entering any number in Current Qty updates the Last Quantity Update timestamp, even if the number itself did not change.
Review Inventory Activity
To view a log of all of the changes to a Part's inventory:
- Click on a Part in the list, which opens the Part Detail Page in a new tab.
- Navigate to:

Inventory Activity to view changes to the inventory.
- Work Order Activity to view Work Orders where this Part was used.

Inventory Activity to view changes to the inventory.
Print the Bulk Update Worksheet
If you want to manage your inventory by hand, click Print Worksheet. This prints out your:
- Location
- Parts
- Part quantities
- Part status (active or inactive)
- Filters
Once you complete your inventory, you can update the numbers in Fleetio.
NOTE: A printed worksheet only includes the first 1,000 parts for the list you are viewing. If you have more than 1,000 parts in this list, Fleetio will warn you. You can then use filters to make your list more specific and print multiple worksheets.
