Auto Integrate Service Code Overview

Repair Orders submitted and approved through Auto Integrate are imported into Fleetio as Service Entries via the Maintenance Shop Network, carrying over corresponding Service Codes for each line item. This article covers the basics of Service Codes and how they appear in Fleetio.

Service Code Basics

Service Codes connect external repair data from Auto Integrate to Fleetio. By mapping them to Service Tasks, Fleetio converts shop-submitted repair order data into standardized, actionable service records; subtotaling all related costs under each task, updating associated Service Reminders, and resolving open Issues.

When maintenance providers finalize a Repair Order in Auto Integrate, each line item (parts, labor, tires, tax, fees, etc.) is represented as a distinct Service Code. Approved Repair Orders are then imported into Fleetio as Service Entries.

Unlinked Service Codes

When a Service Entry is received from Auto Integrate, most service codes are automatically linked to Service Tasks. However, service codes with insufficient information are left as stand-alone, labeled as unmapped. These unmapped Service Codes can be manually linked to Service Tasks by editing the Service Entry.

Service Codes and Service Reminders

Service codes work in tandem with the Service Reminders in your preventative maintenance schedule. This synchronization ensures necessary services are performed on time and reminders are updated for the next due date.

Fleetio recognizes linked Service Codes as completed Service Tasks. If a Service Reminder for a task is not in place, it can be added directly from the Service Entry.

If a Service Reminder already exists for the Service Task, this will be updated with a new Next Due date or meter reading. You can Edit by clicking the pencil icon if necessary.

Service Code Costs

When Service Codes are linked to a Service Task, their associated costs are subtotaled under the Service Task line item. This feature is vital for accurate cost reporting. These costs can be viewed on the Service Task line in the Service Entry detail.

Service Codes and Issues

A Maintenance Shop Network Service Entry can be used to manually resolve an open issue by either associating the issue with a specific Service Task or linking it to the Service Entry as a whole.

Maintenance History

The Shop Network Maintenance History sends your maintenance history for non-Auto Integrate entries into Auto Integrate. This information is helpful for evaluating and authorizing future Repair Order requests. These mappings guide Fleetio on which Service Code to send to Auto Integrate for historical Service Entries.
