Auto Integrate Service Code Overview

With Fleetio's Maintenance Shop Network, Repair Orders that are submitted and subsequently approved through the Auto Integrate platform are imported into Fleetio as Service Entries. In this article, we will review the basics of Service Codes and how they are viewed in Fleetio.

Service Code Basics

Auto Integrate Service Codes represent the work that maintenance providers submit for electronic approval. Once approved, these Service Codes provide a record of the work done on a vehicle. Service codes related to each other are imported into Fleetio and grouped under a corresponding Service Task as a single line item. All costs associated with these Service Codes are then subtotaled under this task for effective cost management. Service Reminders associated with the task are also updated, and open Issues can be resolved.

Service Codes in the Auto Integrate System

Maintenance providers finalize Repair Orders in Auto Integrate, each consisting of specific line items representing different aspects of work like part, labor, tire, tax, discount, or fee. These are represented as distinct Service Codes. Approved Repair Orders are imported into Fleetio as Service Entries.

Unlinked Service Codes

When a new Service Entry is received from Auto Integrate, most service codes are automatically linked to Service Tasks. However, service codes with insufficient information are left as stand-alone, labeled as unmapped. These unmapped Service Codes can be manually linked to Service Tasks by editing the Service Entry.

Service Codes and Service Reminders

Service codes work in sync with the Service Reminders in your preventative maintenance schedule. This synchronization ensures necessary services are performed on time and reminders are updated for the next due date.

Fleetio recognizes linked Service Codes as completed Service Tasks. If a Service Reminder for a task is not in place, it can be added directly from the Service Entry.

If a Service Reminder already exists for the Service Task, this will be updated with a new Next Due date or meter reading.

You can Edit by clicking the pencil icon if necessary.

Service Code Costs

When Service Codes are linked to a Service Task, their associated costs are subtotaled under the Service Task line item. This feature is vital for accurate cost reporting. These costs can be viewed on the Service Task line in the Service Entry detail.

Service Codes and Issues

A Maintenance Shop Network Service Entry can resolve an open issues by either associating the issue with a specific Service Task or linking it to the Service Entry as a whole.

Service Codes and Maintenance History

The Service Code Maintenance History screen is also found by clicking Shop Network in the Sidebar Navigation and selecting Shop Payments. Then, click the Maintenance History tab.

Fleetio sends your maintenance history for non-Auto Integrate entries back to Auto Integrate. This information aids in evaluating and authorizing new Repair Order requests. These mappings guide Fleetio on which Service Code to send to Auto Integrate for historical Service Entries.
