Table of Contents
While Fleetio provides the option to print standard asset labels, you may find that you need more customization, such as specific information that's displayed or a different label size or shape. Other Fleetio customers recommend using third-party software such as Avery to design and print custom labels. This guide covers how to export your data from Fleetio, create a template in Avery, and link the right information to successfully scan your labels.

Export Your Data
The first step is to export your data from Fleetio and select the fields you want to appear on your labels. In the Fleetio web app:
- Go to the Index page for the record type you want to create labels for, such as the Vehicle Index, Tools Index, or Parts Index.
- Click the More Actions Button in the top right and select Export CSV.

- The CSV file will begin downloading.
- When the download completes, open the spreadsheet with a program such as Excel, Numbers, or Sheets.
The exported CSV file contains all available columns for the record type, not just the visible columns in the Fleetio web app. Therefore, the spreadsheet may be a large file size and contain unnecessary columns. To focus on the information you want to be displayed and reduce the file size, we suggest deleting extraneous columns.
Fleetio ID is required to link your assets to a barcode, so do not delete this field.
In the example below, after exporting Vehicle data and opening the CSV, we kept the Fleetio ID, Vehicle, VIN, Group, Year, Make, and Model columns and deleted the rest.

- When you're finished, save the spreadsheet.
Choose Your Template and Customize it in Avery
If you haven't already, sign up for a free Avery account. You'll complete the rest of the steps in Avery's design portal. Once you're logged in, start a new project.
Step 1: Choose a Template and Design
Select a template according to the material and size you need. The Metallic Asset Tags are popular amongst Fleetio customers who require heavy-duty labels.
Once you select a template, choose a design to customize. If you choose a design without a barcode, you can add one in the next step, but plan for the size of the barcode or QR code in the template.
Step 2: Add Your Data and Customize Your Design
The design area is where you'll link your Fleetio data to the template.
To display the fields you want, such as the vehicle name:
- Select Import Data/Mail Merge.
- Click Start Import/Merge.
- Find and select the CSV file.
- Follow the directions to choose the fields from your spreadsheet. Include Fleetio ID here to save an extra step when you link your barcodes.

- Drag and drop the fields you want to display (do not include Fleetio ID here unless you want to display that number as a text field).
- Click Finish.
To link barcodes to your Fleetio assets:
- Double-click the barcode placeholder on your design, or select QR and Barcodes from the left menu.
- (Optional) Print out a sample page if you want to check the barcode size that's right for your scanner. If your employees or contractors are using Fleetio Go, most barcode sizes are safe.
- Click Add Barcode or QR Code.
- Drag and drop the Fleetio ID field to the alphanumeric field and adjust the X-Dimension side if needed.
Once your labels are ready, you can print the labels yourself or order them through Avery.
TIP: If you run into an issue during the process, Avery has a helpful video on setting up asset tracking tags with barcodes.
