Notification Management allows administrators to set default notification settings and assign watched vehicle groups for users. This makes it easier to ensure your users receive only the alerts they need.
PLANS: Notification Management using Notification Profiles and Watched Vehicle Groups is only available for accounts with a Premium plan.
PERMISSIONS: Only Account Owners and Administrators can manage Notification Profiles and Watched Vehicle Groups for other users.
Notification Profiles
Notification Profiles set default notification settings for a group of users.
Notification Profile Types
Unlocked Profile
Unlocked Profiles allow administrators to define a default set of notification settings while still allowing users to further personalize their own preferences.
- Administrators can define the profile's notification settings and can push updates to assigned users, either as a one-time update or by overriding user-defined settings to match the profile.
- Users start with the profile defaults, but can still enable/disable notifications for themselves.
- Fleetio tracks which users are assigned a profile and which users have personalized their settings.
- New users assigned a profile start with settings from the profile.
When a profile is applied to an existing user, their notification settings reset to match the profile.
If updates are pushed, users are notified via email that their notification settings have changed.
Locked Profile
Locked Profiles let administrators define notification settings that users are unable to change.
- Administrators define the profile's notification settings.
- Once assigned, users are required to follow the profile settings and are unable to personalize their notifications.
Manage Notification Profiles
To add new notification profiles or edit notification settings:
- Go to your Account Menu and select Settings.

- Under Notification Management in the settings sidebar, click Notification Profiles.
- To add a new Notification Profile, click the Add Notification Profile button.

- To edit an existing Notification profile, click the More Actions button in the corresponding row and select Edit Profile Details.

- Make any necessary changes to the notification preferences and click Save Changes when complete.

Apply Profiles to Users
There are multiple methods for assigning users to Notification Profiles. Review the methods below and select the best fit for your needs:
Add/Edit Contact Form
- Click Contacts on the sidebar navigation.
- If adding a new contact, click the Add Contact button; if editing the record, select an existing contact.
- Use the Notification Profile drop-down to select the applicable profile.
- Click Save Contact when complete.
Bulk Update Notification Profiles in the Contacts Index
- Click Contacts on the sidebar navigation.
- Select the Users tab.
- Use the checkboxes to select the users you would like to update profiles for.
- Click the bulk Actions dropdown, and select Update Notification Profile.
- Select if you would like to Add/Update Notification Profiles or Unassign All Notification Profiles.
- Then, select the profile from the dropdown and click Update Notification Profile.
Add Notification Profiles when Adding Multiple Contacts in Bulk
- Click Contacts in the sidebar navigation to go to your Contacts index.
- Click the More Actions button at the top of the page and select Add Multiple Contacts.
- In Step 1 under Configure User Access, select the appropriate Notification Profile before moving to the next step.
NOTE: While setting Notification Profiles through SCIM provisioning is not currently available, the Fleetio team is working on this feature for a future release.
Watched Vehicle Groups
While Notification Profiles control which notifications users receive, Watched Vehicle Groups control which vehicles users are notified about.
Users added to a Watched Vehicle Group will become watchers of all vehicles in that group and any subgroups it contains.

Manage Watched Vehicle Groups
To manage watched vehicle groups:
- Go to your Account Menu and select Settings.

- Under Notification Management in the settings sidebar, click Watched Vehicle Groups.
Here you'll see a list of your Groups and Subgroups, along with the number of vehicles and watchers in each column.
- Hover your cursor over a column header to learn more about the information it contains.
- Click the arrows on the left to expand groups and view their subgroups.

Add Users to a Watched Vehicle Group
You can add users to a watched vehicle group directly from the Notification Management page (shown above).
To add a user to a watched vehicle group:
- Click the Manage button at the end of the row for a group or subgroup.

- In the pop-up, click the Users field to search for and select any users you want to add.

- When you're finished, click the Save button.
TIP: Users can manage their own Watched Vehicle Groups in their User Notification Settings.
