Archive, Restore, or Delete Part Locations

You can Archive a Part Location in Fleetio if you don't intend to use it in the short-term, but would like to retain all of its historical data for reporting purposes. An archived Part Location can be restored at any time.

Once a Location has been archived, it will still appear in Work Orders and Reports, but will be tagged as archived. Archived Part Locations do not appear in the following lists:

The Manage Locations Card when creating a new Part or editing an existing Part.

The Part Location list when adding or editing a Part in a Work Order.

PERMISSIONS: Part locations can only be archived and restored by Administrators. See User Management Overview to learn about Administrators.

Archive Part Locations

  1. Go to your Account Menu and select Settings.

  1. In the Settings sidebar, click Part Locations in the Parts & Inventory section.

  1. Click the More Actions Button next to the Location you'd like to archive and select Archive.

NOTE: If a Part Location has incomplete Work Orders, Active Purchase Orders, or Active Inventory Sets, it cannot be archived and will be marked with a lock icon.

  1. A confirmation pop-up will appear to inform you of any affected Parts

NOTE: If archiving a Location, all parts quantities for that Location will be cleared to zero. If the Location is restored in the future, any parts previously associated with it will not be restored.

  1. Click the Archive Part Location Button in the pop-up to confirm.

The Location is now archived. You can view it, along with previously archived Locations, in the Archived Tab on the Part Locations Index.

Restore Archived Part Locations

Archived Part Locations can be restored in two ways: manually from the Part Locations Index in Account Settings, or by reopening a completed Work Order that contains parts from an archived location.

IMPORTANT: Archived part locations can only be restored by an Administrator. This means that regular Users cannot reopen Work Orders that contain parts from an archived Location.

Restoring an Archived Part Location via Account Settings

  1. Go to your Account Menu and select Settings.

  1. In the Settings sidebar, click Part Locations in the Parts & Inventory section.
  2. Click the Archived Tab and find the Location you want to restore.
  3. Click the More Actions Button and select Restore.

Restoring an Archived Part Location via Work Order

Reopening a completed Work Order that utilizes Parts from an archived Part Location will automatically restore the archived Part Location. When viewing a completed Work Order that includes a Part from an archived location, the archived location will still be displayed, but with an archived tag.

Delete Part Locations

If you wish to permanently remove a Part Location from your account, you may Delete it.

IMPORTANT: While an Archived Part Location can easily be restored as shown above, Delete is a permanent action and cannot be reversed!

To delete a Part Location, click its More Actions Button in the Part Locations Index and select Delete.

In the confirmation pop-up, click the Delete Part Location Button.
