Fuel Settings

There are numerous Fuel Settings which affect your fuel-related data in the Fleetio system: different fluid volumes (gallons, liters, etc.), distance measurement units (miles, kilometers, etc.), and methods of calculating efficiencies (Miles Per Gallon (MPG), Kilometers per Liter (km/L), Liters per 100km (L/100km), etc.).

In some cases, your organization may deal with the added complexity of reporting for business operations in multiple geographic regions, or for users in widespread locations, or for vehicles with varying specifications.

This article will help point you to the settings that control various fuel-related values in Fleetio.

Account Settings

Begin by configuring system defaults in Account Settings to apply to your organization as a whole.

Go to your Account Menu and select Settings.

On the General Settings page, scroll down to Default Units. These are the defaults for NEW Vehicles added to Fleetio. This will save you time, ensuring that your most commonly used units of measure are already applied as you create new vehicles, and yet can still be adjusted individually in Vehicle Settings.

  • Gallons (US)
  • Gallons (UK)
  • Liters

System of Measurement

  • Imperial
  • Metric

Fuel calculations include cost totals which are displayed in the currency configured in the Regional Settings section, just above Default Units in your General Settings.

User Settings

Calculations for fuel efficiency are handled differently for different regions worldwide, and your company may have employees working from various regions. Fleetio allows you to adapt to the needs of a global market by providing user-specific configuration settings.

Users can change their own Fuel Economy Values by going to their Profile Menu and selecting User Profile.

There they can select their preferred Fuel Economy Value.

Vehicle Settings

Even within a single geographic region, one type of vehicle may use different measurement units from another. While "default" settings have been configured at the account level, it is still possible to adjust for each individual vehicle.

Edit the Vehicle, then click on the Settings section as shown below.

Filter Options

Apply additional controls using the filter options at the top of list screens and Reports.

Vehicle Overview

The Vehicle Overview includes summary statistics which are also displayed according to various Account, User, and Vehicle Settings. On the Vehicle Overview, Fuel Costs, including trends, appear on the Cost of Ownership chart.


On the Fuel Efficiency chart on the Vehicle Overview, the following is shown: Total Volume, Average Efficiency and Average Fuel Cost.

Fuel History

Navigate to Vehicle Overview and click the Fuel History tab to view the log of fuel entries for a specific vehicle.

Select Fuel History in the Sidebar Navigation to work with ALL fuel history for your entire fleet.

Several statistics are calculated and updated at the top of the screen, for the Time Frame date range currently selected.

Total Fuel Cost

  • The currency unit for cost values is drawn from Account Settings as shown above.

Total Volume

  • The fluid volume measurement unit is drawn from the Filter option as shown above.

Average Fuel Economy

  • The economy calculation measurement units are drawn from User Settings as shown above.
  • Excludes fuel entries with a Void meter reading.

Cost/Volume

  • A ratio calculated from value (a) over value (b).

You may also use the Actions Drop-down menu to utilize Bulk Actions in the Fuel History Index.

Export Fuel History

On the Fuel History page, you may customize visible columns (including fuel card transaction data) by clicking the gear icon and selecting Manage Columns.

You may export all Fuel History data, or only the columns you have customized for your view. Reference the Working with your Data on a List Page article for more details on exporting.

Fuel Summary Report

Values (a) through (d) from the Fuel History screen are included in the Fuel Summary Report for the date range set in the report filter, with the addition of two more values:

(e) Average Usage

  • Vehicle usage is displayed in a measurement unit per day, where the unit is drawn from Vehicle Settings.
  • Not specifically fuel-related, and explained further in the Average Usage article.

(f) Cost/Distance

  • A ratio calculated from value (a) over value (e).

TIP: If you need to change units of measurement in the report (from Miles to Kilometers, for example), click the Index Settings button and select Change Units.
