Jobs is a native module in Fleetio that lets fleet managers define jobs (projects, sites, or contracts), assign vehicles and equipment to those jobs, and track assignment history, utilization, and costs over time. Assignments can be made manually, in bulk from the Vehicle index, or automatically via geofence entry/exit events at job sites.
Note: Jobs is available for Premium plan customers only and will be enabled by default for customers in the construction industry.
Customer Audience for Jobs
Jobs is designed for fleets whose assets are deployed to revenue-generating projects and move between sites — typically:
- Construction, landscaping, and highway contracting
- Rental and leasing fleets
- Pipeline, utilities, and field services
- Any fleet that needs to know which assets are on which jobs today, how long they have been there, and what they cost
If your fleet runs fixed routes (e.g., delivery vans) or you do not allocate assets to projects, Jobs may not add value over standard Groups and reporting.
Enable Jobs
If you are a Premium plan customer and would like to enable Jobs on your account:
- Navigate to your Account Settings.
- Under the General Settings section, locate the Module Visibility section.
- Toggle to Enable Jobs.
Jobs Tracking in Fleetio: Manual Assignment, Reporting, and Geofence Automation
To access the Jobs Dashboard:
- Select Jobs from the left sidebar navigation and then choose Jobs.
- The Jobs dashboard is designed like a whiteboard-style board with cards. This is the main place you will see and manage jobs at a glance and makes it easy to understand what assets are assigned.

Assign an Asset to a Job Manually
- From the jobs view, select an asset and choose the job you want to assign it to.
- Enter a start date for the assignment.
Limitation: The start date must be today or in the past; future scheduling is not yet supported. This is useful if you forgot to record a move that happened earlier and need to backdate the assignment.
- Click Assign.

Review Asset Allocation & Time on Job
After assigning the asset, it moves to the selected job. The dashboard shows where each asset is assigned and how long it has been allocated to that job.

Job Assignment on the Vehicle Index
You can also view job assignments from the Vehicle Index by clicking Vehicles on the sidebar navigation and selecting Vehicle List.
Each vehicle profile includes a Jobs field showing what job the asset is currently allocated to.
From the vehicle profile, you can:
- Select a job.
- Click Save.
- Add the vehicle to that job directly.

Bulk Actions for Multiple Vehicles
- If you would like to assign jobs to multiple vehicles, through the Vehicle index, multi-select the vehicles by selecting the checkbox to the left.
- Select the Actions dropdown and choose Assign to Job.

- Confirm the job and start date/time, then click Assign.

Complete a Job
If a job has no assignments and you would like to complete a specific job:
- Click on the More Actions button on the specific job.
- Select Complete.

- Add the end date/time.
- Click Complete Job.
Once the job is completed, it will be removed from the board.
Job Assignment History
If you would like to view all job assignments in the past:
- Under Jobs on the sidebar navigation, select Job Assignment History.
- This index will group all assignments by job and can also be grouped by vehicle.
- You can also sort by specific jobs or utilize any of the other filters at the top of the index.

Job Assignment on Issues
To view job assignments on issues:
- Select Issues on the sidebar navigation, then click Issues.
- Locate the specific issue you want to view, and you can see the current job now visible in this index.
Job Assignment on Inspection History
- Select Inspections from the sidebar navigation and click Inspection History.
- If the asset is on an existing job at the time of the inspection, it will also be shown on the Inspection History index.
Job Reporting
Job Assignment Summary Report
- Navigate to Reports and select Standard Reports. Then, choose Jobs under the Report Type and select the Job Assignment Summary Report.
- This report helps you look back over a time period and understand:
- Which assets were on which jobs
- How long they were used
- How many times they were assigned
NOTE: This report can be run for any time frame (e.g. the last 30 days).
- The report aggregates job usage data, including:
- Total days on the job
- Number of assignments to that job
- Total engine hours or other usage metrics
- Average per day

This helps quantify asset utilization on each job, not just assignment history.
You can also utilize the Job Assignment Summary Report to provide a daily snapshot of where all assets are assigned.
To do this:
- Filter the report so that Job assignment ended at is blank. This shows only currently active assignments.
- Save the report using a naming convention like Daily Schedule.
Schedule & Email Report
- Ensure the report is set to public, if needed.
- Check the box to Email and Upload Schedule.
- Configure the following:
- Recipients
- Format (CSV, PDF or XLSX)
- Days to send
- Frequency
- Time of day

Geofence-Based Job Assignment
Jobs will be able to have a geofence applied to them, which means when an asset enters or leaves the geofence, Fleetio will automatically update the job assignment. This helps reduce manual work for equipment managers.
This will work in the following way when a vehicle enters a job's geofence:
- A job assignment will be created automatically.
- If the vehicle leaves the geofence, Fleetio will end the assignment automatically.
Triggers can come from:
- Telematics location data
- Inspection submissions
- Meter/location entries
- Manual scan-in events at a job site
Configure a Job to Use a Geofence
- Select Jobs on the sidebar navigation and then choose Jobs.
- Locate the job you want to configure and click the three dots to edit. Note that this job must have a geofence applied first before you can edit.
- Select the appropriate Place from the corresponding dropdown.
- Check the box if you would like to automatically assign or unassign assets when entering or leaving the selected Place's geofence boundary.

NOTE: This means that any asset that telematics pings this geofence, Fleetio will automatically create a job assignment. Whenever it exits the geofence, Fleetio will end the assignment.
