Reminders for Tools

With Tool Reminders, you can create your own reminder types and assign them to Tools to help you keep track of tool-specific activities, such as annual inspections, industry certifications, and other important events.

NOTE: Tool Management is available as an add-on feature for your Fleetio plan. If you'd like to add or update a Tool Management add-on, see Billing & Subscriptions.

Create Tool Reminder Types

Before you can assign reminders to Tools, you must create Reminder Types in your Account Settings.

PERMISSIONS: Only Account Owners and Administrators can create Tool Reminder Types.

To add a Tool Reminder Type:

  1. Go to your Account Menu and select Account Settings.

  1. In the Settings Sidebar, select Tool Reminder Types under Tools.
  2. Click the + Add Tool Reminder Type button.

  1. Enter a Name for your Tool Reminder Type and click Save.

Your new Tool Reminder Type can now be assigned to your Tools.

Manage Tool Reminder Types

To edit or delete an existing Tool Reminder Type:

  1. Navigate to Tool Reminder Types in your Account Settings as shown above.
  2. Click the More Actions Button for the Tool Reminder Type and select Edit or Delete.

Add a Reminder to a Tool

To add a Reminder to a Tool:

  1. In the Sidebar, click Tools and select Reminders.

  1. Click the + Add Tool Reminder button.
  1. Complete the Tool Reminder Details form:
    1. Select a Tool from the drop-down menu
    2. Select a Tool Reminder Type
    3. Enter the Due Date for the reminder
    4. (optional) Select a Due Soon Threshold, the amount of time in advance you'd consider this reminder to be "Due Soon"
    5. (optional) Click the checkbox to Enable Notifications (see below)
    6. Add Watchers - Watchers are the Users you want to receive notifications about this reminder.
      • By default, the user creating the reminder will automatically receive notifications for the reminder.
  1. When you're finished, click the Save Tool Reminder button.

Tool Reminder Notifications

By default, the user who creates the reminder will be included, along with any user who is "watching" the Tool. Adjust recipients by adding or removing users from the Watchers list.

Notifications are triggered based on the Due Soon Threshold and the Due Date. Users will receive, in order:

  • A notification when the reminder is due soon
  • A notification when the reminder becomes overdue
  • A notification once a week until the reminder is reset

NOTE: If a User is not receiving emails, suggest they check their spam folder. If the problem persists, check with your organization's IT department to ensure that Users can receive emails from all Fleetio Domain Names.

Resolve a Tool Reminder

To resolve a Tool Reminder:

  1. In the Sidebar, click Tools and select Reminders.

  1. Click the More Actions Button for the reminder, and select Resolve Reminder.

NOTE: Tool Reminders don't repeat automatically. Once a reminder is resolved, another reminder needs to be created.

Add Tool Reminders in Bulk

You can add reminders to multiple Tools at once using the checkboxes in the Tool List.

  1. In the Sidebar, click Tools and select Tool List.

  1. Use the checkboxes to select the applicable Tools.

  1. Click the Actions drop-down menu, then select Add Reminder.

  1. Complete the Tool Reminder Details form as shown above, then click Save.

Tool Reminders Index

The Tool Reminders Index is where you can manage your Tool Reminders. It contains the following features and functions:

  1. Use the tabs to view All, Due Soon, or Overdue Tool Reminders
  2. Search for a reminder or Filter the list by Tool, or Tool Group
  3. Group the list of reminders by Tool
  4. Manage Columns shown in the list
  5. Click a Column Header to sort the list by that column
  6. Click the More Actions Button for a reminder in the list to View, Resolve, Edit, or Delete it.
