Connect FleetLocate and Fleetio to improve your maintenance management. Integrating with FleetLocate allows you to send your odometer, engine-hour, and fault-code data to Fleetio.
PERMISSIONS: You must be an Admin or Owner in Fleetio. For FleetLocate, you must have an Advanced (Pro Tier) account and access to the Integrations page.
How It Works
The FleetLocate integration syncs the following data:
- Odometer, synced nightly
- Engine hours, synced nightly
- Vehicle fault codes, synced in real time
By matching the asset's VIN, the integration can ensure this data reaches the correct vehicle. If the VIN isn't available, the fallback method is matching the asset name.
IMPORTANT: Verify that all your vehicles exist in Fleetio before connecting to FleetLocate. This integration cannot add assets into Fleetio; it only syncs data about existing vehicles.
This is a one-way integration: the data flows from FleetLocate into Fleetio. Data from Fleetio does not sync to FleetLocate.
Get API Key and Fleetio Account ID
In Fleetio, first create an API key for FleetLocate:
- Select your account name in the upper left, then select Settings.
- Click Manage API Keys > Add API Key. It's best practice to create a new API key every time you connect to a different third-party software.
- Name the API key something descriptive (e.g. FleetLocate).
- Select the API Version; using the most recent version is recommended.
- Click Save.
NOTE: Do not share API key tokens. Someone with access to an API key can send data into Fleetio and risk your account's integrity. If this API key is ever compromised, revoke it as soon as you can.
You also need your Fleetio Account Token, also called the Account ID. On the same API Keys page:
- Scroll down to the Account Tokens section.
- Find the Token for the Account that you want to integrate with FleetLocate. (If you have access to multiple accounts, you'll see multiple account tokens).
You'll need both the Account and API Key tokens, so either copy and save these in a safe place, or keep this page open while you integrate.
Add the Integration in FleetLocate
In a new tab, log into FleetLocate, then:
- Navigate to Admin > Integrations.
- Find and click on the Fleetio integration.
- Decide on the data you want in Fleetio by checking any or all of the boxes. You can change this selection at any time.
- Primary Meter (Odometer)
- Secondary Meter (Engine Hours)
- DTC (Vehicle Fault Codes)
- Click Save.
Once the Status shows Connected, data about your assets will start syncing to Fleetio. If the connection fails, check that you copied the correct API key and account token.
NOTE: It can take at least 15 minutes for all your assets to appear when you first connect. In the future, new assets are added during the nightly sync.

Troubleshooting Tips
Assets Are Not Appearing
If you just set up the integration for the first time, wait at least 15 minutes from when the integration shows “Connected.”
After the 15 minutes:
- Check that your assets exist in Fleetio, or the FleetLocate data will have nothing to sync to
- Review the VIN or asset name to see if it matches
Meter Data Doesn't Match
It's expected that the odometer or engine hour data doesn't always match between FleetLocate and Fleetio. This data syncs only once per day (at night), so the numbers often differ at other times.
To check that the numbers are syncing correct, log into FleetLocation, navigate to the Fleetio integration, and review the Assets table.
Fault Codes Are Not in the Assets Table
Since fault codes are sent in real time, they are not included in the Assets table in FleetLocate. You can check which assets are being synced, and then look for the fault codes in Fleetio.
