Asset List
A list of all vehicles and equipment you plan to manage within Fleetio.
When to Provide: Weeks 1-2 of implementation.
File Types: .csv, .xlsx, .xls
Evaluate Data:
- Asset Names: Does each asset have a unique name or identifier?
- VIN: Are all VINs accurate and legible?
- Groups & Subgroups: How would you like assets organized?
- Asset Types: Are asset types clearly defined?
- Asset-Specific Attributes: Do you have custom data fields you want included?
Contact List
A list of all users who will require access to Fleetio. Get started with your core implementation team.
When to Provide: Weeks 2-3 of implementation.
File Types: .csv, .xlsx, .xls
Evaluate Data:
- User Base: Who will be the initial users upon rollout, and what roles and permissions are needed?
- Login Methods: Do all users have a dedicated email address, or are alternative login methods required?
- Single Sign-On (SSO): Do you plan to use SSO for authentication?
Inspection Forms
Checklists, forms, and reports you would like to replicate within Fleetio.
When to Provide: Weeks 4-5 of implementation.
File Types: .csv, .pdf, .doc, .docx, .xlsx, .xls
Evaluate Data:
- Checklist Forms: Do you have inspection checklists for each preventive maintenance program?
- Organization: Are existing checklists finalized and ready for migration into Fleetio?
Service History
Historical maintenance service records for your fleet.
When to Provide: Weeks 4-5 of implementation.
Evaluate Data:

Data Requirements: Does your data include the following details:
- VIN and/or asset name
- Completion Date
- Completion Meter (miles/hours)
- Description of Service (parts & labor
- Data Extraction: Does your previous system allow you to export service reports in .csv format?
Vendors
Service providers you regularly use for your fleet: maintenance shops, suppliers, fuel merchants, etc.
When to Provide: Weeks 3-4 of implementation.
Evaluate Data:
- Contact Details: Does your Vendor List have any key contact information you wish to include?
- Vendor Type: Does your Vendor List include vendor types: fuel, parts, service, etc?
