New to importing data into Fleetio? Be sure to read the overview article first or watch our video on how to prepare your import data file.

This guide provides an overview of the of the file requirements and supported values for importing person entries in Fleetio.

IMPORTANT: All import files must be in the .csv format and meet .csv file standards. Go to http://csvlint.io/ to validate the .csv file if necessary.

If you have issues with Importing your data using a .csv file created by Excel, please try using Google Sheets or Apple's Numbers.  Excel can sometimes cause data issues when saving .csv files.

Contacts Import File: Columns & Values

Fleetio recommends using the Contacts Import template found under Settings > Imports when importing contact data

NOTE: If using a custom template from another system, modifications to the file may be needed to ensure the data is in the proper format and can be matched up to data in Fleetio.

Import Guide

Column Required? Notes
id No This field should be left blank for all new contact records being added and only be used when updating existing persons in Fleetio. SEE:   Updating Data via Import File
first_name Yes First name of contact
last_name Yes Last name of contact   
birth_date No Must be in the Short Date Format specified for the account under Settings > Account Settings. Date format must be consistent throughout file.

start_date No Must be in the Short Date Format specified for the account under Settings > Account Settings. Date format must be consistent throughout file.

leave_date No Must be in the Short Date Format specified for the account under Settings > Account Settings. Date format must be consistent throughout file.

group No Text can match an existing  Group and/or Subgroup already set up for the account, or a new Group will be created if it does not match up. 
  • Example (group): Chicago
  • Example (subgroup): Chicago|Warehouse-01

    NOTE:
    Use the "pipe" character | to separate groups and subgroups. No spaces between elements are needed.
vehicle_operator No Should this contact have the Operator classification enabled? (This enables the contact to be assigned to vehicles)
  • Yes = true
  • No = false (or leave blank)
employee No Should this contact have the Employee classification enabled?
  • Yes = true
  • No = false (or leave blank)
technician No Should this contact have the Technician classification enabled? (This enables the contact to be selected in labor line items on Work Orders)

NOTE: Custom Fields can be setup under Settings > Custom Fields. Any Custom Fields with the "Contact" record type will also be available to import data into.
