Fleetio Account Ownership Policy

Who owns a Fleetio account?

A Fleetio account is owned by a single user. When you sign up and create a Fleetio account, you are the owner of that account and all the data in it. Fleetio accounts can have only one owner.

Owners are the only people who can assign a new owner to the account. Our legal responsibility is to the account owner, so we won’t let other people take over your account without your permission.

Changing the Account Owner

An account owner can assign an existing user on the account to be the account’s new owner on the Subscription page in the account Settings section. When you designate someone else as the account owner, they will have the power to manage all aspects of your Fleetio account and you will no longer be the owner of the account.

Changing the owner on the account does not remove or modify the credit card or the billing contact information (including the email address where statements are sent) on the account. The account owner (or any Admin user with “Manage Billing” permissions) can edit the credit card on file and the billing contact information at any time from the Billing page in the account Settings section.

What happens if the current account owner is not available?

It happens — people switch jobs, get laid off, go on extended leave — the account owner may be unavailable for any number of reasons. Still, our obligation is to the current account owner. That means we’re unable to add new owners to the account without permission from a current account owner, communicated from the email address we have on file.

If the account has been frozen due to non-payment for less than a week, we’ll be glad to thaw the account for a week or so, so people can access their data in the meantime.

The quickest route to add a new owner is often to contact a current account owner, and ask them to log in and change the owner right away from the Subscription page in the account Settings section.

Otherwise, we can also reach out the current account owner at the email address we have on file and request permission to change the owner. If it’s a company address and another employee has access to the inbox, the person who receives the email can grant permission to add a new owner. For security’s sake, permission must come from the email address we have on file for the current account owner.

When none of the above is an option, we will accept an ownership change request from at least TWO (2) Admin users on the account. The ownership change requests must be from the email address associated with the Admin users’ Fleetio accounts and must include both the current Owner’s email address as well as the new Owner’s email address matching their existing user account in Fleetio.
