Printing Part Labels in Fleetio

To help you manage your parts inventory, Fleetio offers the ability to print labels with QR codes that you can scan using the Fleetio Parts mobile app for  Android and iOS.

NOTE: The Print Labels form takes into account any filters applied on the Parts page. For example, filtering by category before opening the form means that selecting all parts on the Print Labels form will print labels for all parts within the category you selected.

Printing labels for all parts at once

From the main parts page in your Fleetio account, click the “Print Labels” button above your list of parts. This will pull up a form where you can select which labels to print, which locations to print them for, and what size the labels should be.

In the “Print Labels” pop up window, both “All parts” and “All locations” are selected.

If you’d like to print more than one label for each part, increase the value in the “Set quantity per part” field.

Choose a label size, visually verify the template preview layout looks correct for your labels, then click the “Generate Template” button.

A new pop up window will appear while your labels template is being processed. Once the processing is complete, a “Download” button will appear allowing you to download a print-ready PDF file. Open your PDF label file, load your printer with the appropriate labels, and print them when you’re ready.

Printing labels for selected parts

Using Fleetio’s filters and checkboxes, you have the ability to print labels for specific parts.

You can pre-filter within the parts screen, then click the “Print Labels” button.

Alternatively, you can manually select which part labels to print using the bulk select checkboxes next to each part record.

In the “Print Labels” pop up window, “Selected parts” will list the number of parts from your previous search. Choose the location of those selected parts, then choose a label size and click the “Generate Template” button.

A new pop up window will appear while your labels template is being processed. Once the processing is complete, a “Download” button will appear allowing you to download a print-ready PDF file. Open your PDF label file, load your printer with the appropriate labels, and print them when you’re ready.

TIP: When printing your PDF label file, make sure your your printer settings are set to “Scale 100%” or “Actual Size”. 

NOTE: The QR Codes that we print in Fleetio must have a certain density in order to transmit as much information as they do about your parts inventory. For this reason, they can't be shrunk too small or the average printer can't output the QR with the resolution it needs. We thoroughly tested a wide variety of sizes when we designed this feature, and our "Small" size in Fleetio was revealed to be the smallest possible QR code that could be read quickly and consistently by the Fleetio Parts barcode scanner.
